Position Description: HBG Design is seeking an Administrative Assistant to support our San Diego office. The position will work closely with the San Diego Office principal, architects, and interior designers to provide daily administrative support, helping enable team members to carry out their design duties more efficiently and effectively. This position will also help support day-to-day operational processes and procedures for the business at large.

Position Responsibilities:
Provide high-level administrative support to the San Diego Office Leader.
Assist the Office Manager with general business operations for an office of approximately 25 employees.
Act as a liaison between employees and external clients requiring a high level of professionalism on all written and verbal communication.
Help coordinate the communication and workflow within project teams between our San Diego, Memphis, and Dallas offices.
Coordinate travel logistics (airline tickets, lodging, rental car, special reservations, and full itinerary development) for any traveling staff.
Complete expense vouchers per HBGs Business Expense policy and at the direction of Financial Services.
Provide daily front reception desk support for the San Diego office.
Serve as the key contact for all material vendors, to include coordinating vendor product updates with designers and managing the schedule of vendor presentations.
Assist IT Director with on-site logistics as needed.
Continually look for process improvements and challenges beyond day-to-day assignments.

Qualifications:
Bachelors degree preferred.
2-5 years of experience working in an office environment.
Demonstrated ability to communicate professionally in written and verbal context, showing trustworthiness maintaining confidential information.
Passion for providing best of class customer service and creating value in the role of supporting others to accomplish goals and achieve success.
Possess strong organizational skills, detail oriented, and highly skilled at prioritizing tasks and assignments.
Must be proactive in foreseeing demands and exercising initiative, able to self-direct work, customer focused, organized, and comfortable in a fast-paced environment.
Proficiency in Microsoft Office Applications.

Compensation
$50,000 - $55,000 per year
Individual compensation packages are based on various factors unique to each candidate, including but not limited to skill set, regional cost of living, experience, and qualifications.
