Job Summary

The BaSE Sr Administrative Assistant (AA) is a full-time (8hr/day – 40 hr/week) position assigned to the IT Maryland facility at 2311 York Road. The position is approved to telework 1 day/week, after candidate is trained. The AA will help the local BaSE manager support the facility by providing a wide variety of functions. Responsibilities and processes can change to support the business as needs change.

Duties and Responsibilities:

  • Monitor building for issues and process and track service calls as documented.
  • Ability to interface with Landlord and vendors to help resolve facility issues.
  • Accurately record equipment and licensing information.
  • Working with the UPS central station to process and log badge requests. Also assign and track parking passes.
  • Ability to monitor the lobby via the DVR system to address or process visitors, shipments, vendors, new hires, etc.
  • Responsible for maintaining the Cadapult FM database which is used to manage employee information, seating assignments, and mapping capabilities. Minimal AutoCAD exposure allowing the candidate to interface with the department AutoCAD SME (subject matter expert).
  • Required to accurately maintain various data spreadsheets to capture employee headcount, package tracking, asset tracking, procurement tracking, etc.
  • The candidate will become the local COUPA Procurement expert allowing them to process standard and specialized orders through the UPS COUPA procurement site. Eventually the candidate will be able to help other departments resolve order issues.
  • Responsible to run the UPS shipping room, manage and track incoming and outbound packages, and eventually become the onsite Worldship expert for domestic and internal shipping.
  • Help Campus process e-recycling equipment through the SOCS system and process e-recycling shipments.
  • Monitor and maintain the printer and supply areas on each floor.
  • Complete various facility audits.

Preferred Competencies:

Physical Skills:

Ability to walk and stand a 50% of the day.

Ability to lift or move 50-60 lbs. items and request help for heavier packages.

Ability to read and record small print i.e. equipment serial numbers, barcode numbers, etc.

Technical (Intermediate level)

General computer skills and the ability to learn UPS SW (WorldShip, COUPA, Catapult)

MS-Office (Excel, Word, and PowerPoint)

General:

Strong relationship skills, Strong communication skills – verbal and written, above average organization skills and attention to detail, Ability to adapt as responsibilities and procedures are modified.

Minimum Qualifiers

  • H.S. Diploma or equivalent
  • Office Support Experience
  • Demonstrated ability to manage multiple tasks in a fast-paced environment under minimal supervision with a high attention to detail
  • Strong analytical, oral/written communication, problem solving, basic research and time management skills.
  • Experience with Microsoft Office (Word, Excel, Access and Outlook)
  • Data entry skills
