POSITION: Dental Assistant/Patient Services Representative

SUPERVISOR: Dental Supervisor


Responsibilities/Duties:

Answer the telephone in a timely, professional and courteous manner identifying yourself and your department protecting the privacy of all by maintaining confidentiality.

Record accurate and complete telephone messages and communicate to department staff in a timely, professional and courteous manner: messages, functions of the department and new developments.

Provide clear direction and/or information to patients/residents, families and visitors and express self in a respectful, courteous manner.

Greet everyone with congeniality and professionalism.

Maintain open lines of communication with supervisor and coworkers.

Log on computer in the morning to check for any cancellations or changes; handle those changes with detail and completeness.

Accept calls and/or messages for patients regarding complaints, cancelling appointments, etc. (noting reason for cancellation into patient's Office Journal in Dentrix).

Return calls to patients who cancel or no-show for appointments, documenting their response into the Dentrix Office Journal. When appropriate, reschedule their appointments.

Pertinent information should also be documented in the Office Journal.

Be able to exhibit good management of time and organization in carrying out office functions.

Prepare charts for dentists and dental hygienists with name, appropriate paper work, and letters on charts.

Pull charts for all providers at least three days in advance.

Check e-Paces when confirming and the morning of the appointment for patient Medicaid insurance eligibility for treatment; keen judgement and accuracy are very important.

Verify patient ID numbers and eligibility in the appropriate website to determine eligibility, collect co-pay necessary and provide patient with a receipt.

Register patient in the computer (patient arrival, cancel, no show, reschedule). This registration is monitored by providers indicating presentation status of their patients.

Appropriately schedule patients after visits with providers.

Monitor schedules for open appointment slots, attempting to assure optimum customer service.

Maintain a cancellation list and contact patients when appointment slots open.

Enter patients who have seen the dental hygienist into recall to assure continuity of care.

From 3, 4, or 6 month recalls stored in the computer, print recalls monthly and call to schedule patients the previous month they are due.

Enter patients who require annual denture exams as "lab case".

Maintain an accurate petty cash account.

Prepare over-rides when patient Medicaid benefit is "at or near limit" (ask the dentist to sign and fill in codes, track over-rides in computer under notes and also in charts; mail when done and copy for chart).

Track over rides when they are returned form the Medicaid office for the number of visits approved - enter into computer and chart.

Fax medical clearances to appropriate physicians and file in charts. Upon receipt of completed clearance from physician, give the form to the provider who requested the clearance and follow the provider's instructions.

Make confirmation calls two days before appointments, indicating in the appointment book the result of the contact.

Registration of new patients: ask them to complete medical history, provide them with the patient bill of rights, patient responsibilities policy, explain consent form and ask them to initial, sign and date it; answer any questions concerning the paperwork. New patients who have made their appointment by phone will have this paper mailed to them along with a letter confirming their appointment.

File charts.

Copy and send/fax dental records for release to other offices/agencies.

Order cabs for persons needing transportation for appointments.

MIPS Documentation

Prior Authorization Insurance claims - includes processing chart documentation, copying x-rays, completion of claim forms, etc.

Keep track of clerical inventory of supplies for dental department and inform dental supervisor of needs.

Prepare cash/private insurance slips.

Schedule and process referrals.

Schedule patients after visits with dentists and/or dental hygienists.

The dental receptionist/dental assistant shall be responsible for all that is listed for dental assistant in the absence of a dental assistant.

Responsibilities of the Dental Assistant:

Act as chairside assistant to the dentist

Assist the dental hygienists chairside and in work areas

Assist the dental patient services representatives with clerical concerns as needed.

Expose and scan quality radiographs as requested by the dentists and dental hygienists.

Pour study models.

Keep track of inventory of clinical supplies for the Dental Department and inform Dental Supervisor of supply needs.

Be responsible for sterilization of instruments, following proper sterilization techniques.

Maintain work areas that are safe and clean in accordance with NYS Sanitary Code and OSHA Guidelines.

Be responsible for general maintenance of equipment (i.e. hand pieces, autoclave, etc.) as necessary and in accordance with established guidelines.

Be knowledgeable and up to date on various procedures (i.e. composites, dentures, surgery) including proper instrument set up.

Exhibit proficiency in operatory set up/break down.

Performs duties according to the highest ethical and moral standards, and in adherence with the facility's corporate compliance plan and all applicable governing laws. Adheres to the facility's confidentiality statement in accessing and safeguarding protected health information (PHI) of residents and employees, as necessary to perform job duties.

Performs any other duties as requested by the Dental Supervisor



Requirements:

Qualifications:

High school diploma, or G.E.D. required. Any alternative post high school education or training will be considered if appropriate to a health care setting.

Experience preferred in dental office/general dentistry.

Familiarity with Microsoft windows based software products including Microsoft word and excel preferred. Experience with MedEnt practice management software and scanning equipment is a plus.

Value for high quality customer service standard with ability to effectively and courteously deal with the public and co-workers in person and on the telephone in a busy multi task environment.

Adequate problem solving skills for assuring effective and appropriate customer outcomes.

Sufficient time management capabilities to accomplish assigned duties and prioritize among multiple tasks.

Demonstrated ability to maintain confidentiality of all patient related information.

Demonstrated understanding and implementation of the core values of our organization relating to ethics, relationships and success as shown by daily action.
