Job Title: Executive Assistant to Digital Marketing Executive

Job Overview: We are seeking a highly organized and efficient Executive Assistant to support our VP of Digital Marketing who leads a busy client services team. The ideal candidate will be able to anticipate the executive's needs and proactively manage their schedule, tasks, and projects to ensure they can focus on leading the team and meeting client needs. This position can be virtual but requires the candidate to be based in the US. This position starts as part-time to assess skill level, with full time opportunities available for the right candidate.

Responsibilities:

  • Manage executive's schedule, including setting up appointments, coordinating meetings, and managing calendars
  • Coordinate with clients and other team members to schedule meetings and ensure timely delivery of projects
  • Manage emails and phone calls, and respond to routine inquiries and correspondence
  • Conduct research and analysis to assist the executive in decision-making
  • Prepare reports and presentations for the executive and the client services team
  • Manage various projects and tasks assigned by the executive, ensuring timely and accurate completion
  • Assist with travel arrangements and expense reports
  • Help ensure effective communication and collaboration within the client services team

Qualifications:

  • At least 2-3 years of experience as an executive assistant or project manager, preferably in a digital marketing agency or related field
  • Strong organizational and time-management skills, with the ability to handle multiple tasks and projects simultaneously
  • Excellent communication and interpersonal skills, with the ability to interact effectively with clients and team members
  • Strong attention to detail and accuracy in completing tasks
  • Proficiency in Microsoft Office Suite, Google Suite, and project management tools
  • Ability to work independently and proactively anticipate the needs of the executive
  • Bachelor's degree or higher in business administration, communications, marketing, or a related field
