Job Description

Supervisor: Executive Director

General Duties: Intake and entry coordination/administrative support

Specific Duties: Serve as the first point of contact for phone calls, scheduling intakes, sending and reviewing documents with clients prior to intake, entering data into a client management system and coordinating referrals between programs and with community partners.

  • Schedule intake and assist in completion of initial paperwork with clients.
  • Ensure client data is updated and accurate in Client Management System.
  • Ensure referrals are routed to the appropriate program internally and with community partners.
  • Work closely with the agency to ensure HIPAA compliance.
  • Be knowledgeable of community services available to families and assist families in accessing such services.
  • Maintain accurate and timely records, submitting reports to supervisor within required timelines.
  • Meet weekly with supervisor.
  • Maintain schedule in an efficient manner and communicate daily with supervisor to ensure personal safety.
  • Communicate with program supervisors to ensure a seamless transition from intake to service entry.
  • Uphold policies, state, and federal regulations regarding the confidentiality of client information.
  • Attend training as required.
  • Other duties as assigned.

Knowledge and Skills:

Commitment to confidentiality.

Ability to meet people where they are without judgement.

Understanding of cultural diversity.

Scheduling experience recommended.

Data Entry experience.

Strong working knowledge of Microsoft Office including Outlook.

Requirements:

Clear Criminal History.

Valid Driver’s License.

Current First Aid/CPR certified.
