Office Assistant/Reception

Architectural Grille, a Division of Giumenta Corporation, located at 42 Second Avenue, Brooklyn, NY, 11215 is a family owned and operated manufacturing company that has been in business since 1945. We are seeking a driver to operate a company van and box truck to deliver and pick up merchandise in a timely manner.* Architectural Grille has strict Covid protocols in place. Additional information will be provided.*There will be limited interaction with the public at this time.

Duties/Responsibilities:

Phone / In-person / Email

  • Answer the main phone - Greet clientele via phone in a professional manner and assist accordingly. Voicemail to be checked throughout the day to ensure all clientele have been assisted.
  • Assist Clientele in picking up products including processing payments. Responsible to maintain pickup log including sending reminders via salesforce to clientele every Monday.
  • Assist vendors including providing guest cards where applicable. Responsible to maintain guest card logs and ensure all have been returned daily.
  • Manage main email box. Process all emails including entering new estimates and sample requests into salesforce. (Training will be provided)

Salesforce (training will be provided)

  • Set up new client accounts in salesforce.
  • Review existing accounts and update contacts as needed on a weekly basis.
  • Assist in merging duplicate accounts in salesforce.
  • Review any rejected salesforce entries and process accordingly.
  • Enter Shop drawing requests as needed to salesforce.
  • Maintain a list of active orders missing deposits. Send deposit requests and invoices via salesforce on a weekly basis. Assist accounting with processing deposits and payments as needed.

General

  • Scan factory travelers on a daily basis.
  • Responsible to maintain inventory of office, kitchen, and upstairs cleaning supplies. Work with the Director of Operations and Purchasing to replenish as needed.
  • Assist in the preparation of marketing packages as needed.
  • Assist with Labeling and fulfilling of product samples as needed.
  • Monitor printers to ensure toner is replenished.
  • Assist in ordering group lunches for staff meeting as needed.
  • File as needed
  • Administrative duties as requested.

Qualifications/Requirements:

  • Salesforce user experience is preferred but not required. Salesforce training will be provided.
  • Extensive experience with Microsoft Outlook, Internet required
  • Experience with Microsoft Excel and Word required. Advanced not required.
  • Time Management skills

Pay Scale: TBD

Bonus Bucket: (depends on hourly pay)

Introductory Period: 90 Days
