In support of our mission, we are seeking a Part-time Receptionist for 3-6 months to join our People & Culture team. The ideal candidate will have had experience in supporting a fast-paced office with a hybrid team. You will report to the Manager of Workplace Transformation based in our New York City office.

What you'll do:

  • Serve as the first point of contact, greeting and welcoming employees, visitors or vendor partners, and advising appropriate individual(s) of their arrival
  • Own process for scheduling office visits for recurring team members, hybrid team members, contractors, visitors and office work/vendors via different platforms to ensure compliances with office procedure as well as health and safety practices. Escalate issues or gaps as needed.
  • Coordinate security access/credentials
  • Assist with conference room management: bookings, meeting setup, catering setup
  • Receive and process incoming/outgoing mail, sort packages and deliver in designated areas
    • Handling incoming mail as well as outgoing shipping
  • Perform curbside pickups or run errands as needed
  • Check and ensure facilities are stocked and clean at all times, arranging/reset meeting rooms, pantry and restrooms
  • Move/transfer supplies, boxes, office equipment, furniture, and trash
  • Perform other duties as assigned
  • Back-up for porters
  • Coordination of COI's, invoices, and any paperwork as needed.
  • Manage help desk tickets and employee requests

Who you are:

  • 0-1 year of facilities management or workplace/front desk/mailroom operations experience; administrative assistant experience is also a plus
  • Analytical, abstract thinker with great written and verbal communication either 1:1 or company wide
  • Proficiency in utilizing iOS Mac, GDrive, GSuite, Slack, AirTable and similar platforms.
  • Have a great eye for detail and high standards for keeping a neat and well-organized office
  • Friendly, welcoming and confident in your ability to be collaborative member of a lean team
  • Never satisfied with the status quo, always thinking "how can we do this better?"
  • Team player with a "no task is too small" attitude
  • This role is expected to support the physical office space:
    • Required to be on-site three (3) days per week: Tuesday, Wednesday, Thursday
    • Exact hours are still to be determined but likely 9am-5pm
    • Expected to be 20 hours total per week
  • You are able to fully meet the physical demands of this role, which include:
    • Safely lifting and/or moving 40 lbs (18kg)
    • Being on your feet daily, for 4-6 hours per day
    • Frequently walking and climbing stairs
    • Other physical movements inclusive of, but not limited to, bending over and reaching overhead

Compensation:

  • Hourly Range: $17 - $20/hourly
