Description

Order Fulfillment Specialist is responsible for the order entry of doors and windows and scheduling of install dates for assigned projects. This entails managing the efficient/effective completion of work, meeting processing times and achieving accuracy levels to ensure full customer satisfaction.

Responsibilities

  • Auditing Tech Measure documentation for completeness and accuracy and escalate to the appropriate IPM when problems arise. This notification must occur the same day and be tracked until resolution is found.
  • Beginning Order Entry of sold jobs in rForce in an efficient and accurate manner making sure 48-hour turnaround time is achieved.
  • Entering Purchase Order information into rForce and verify the information is complete and in the correct format.
  • Releasing Purchase Orders to the specific factory and properly maintain records and history of key information.
  • Reviewing all incoming confirmations and compare to orders to ensure product was ordered correctly and deliveries meet customer and expectations.
  • Expeditiously scheduling installation dates with Homeowners, updating all schedules with the confirmed date and rescheduling installations resulting from delays or product damage.
  • Working closely with Installation Manager and Order Fulfillment Manager to ensure capability and capacity matches jobs that are scheduled inf rForce and make adjustment as needed.
  • Working closely with Warehouse Department to ensure they have the latest project schedule and that orders are being pulled and prepped in the correct sequence.
  • Communicating with Homeowners, as well as Sales, Installation, Installation Project Managers and Warehouse Departments to resolve issues and concerns associated with the project.
  • Properly de-escalating homeowners that become upset with any part of the order and install process.
  • Preparing and deploying weekly Production Plan to the company for assigned installation teams and lead Production Review meeting.
  • Participating in cross functional meetings such as Production Review and Purchase Order Status Review.
  • Developing and deploying metrics on order entry plan versus actual output and quality results.
  • Quickly escalating to Order Fulfillment Manager and Operations Manager any issues that impact Homeowners, product deliveries, scheduling, or other critical tasks.
  • Tracking and maintaining ship date notices and making sure that Homeowners and Sales Department are notified.
  • Providing back up for incoming phone calls.
  • Other tasks as assigned by the Order Fulfilment Manager.

Qualifications

  • Must have 2-years of experience in customer service role.
  • Must have 2-years of experience scheduling of work and jobs.
  • Must have 1 year of experience in talking with customers.
  • Preferred experience the in the construction industry.
  • High School diploma and preferred some college classwork.
  • Product knowledge and use of Andersen and Provia products.
  • Customer communication skills and ability to provide customers with a great experience through effective problem resolution.
  • Lean knowledge and ability to identify process improvement opportunities.
  • Strong skills in math and working with calendaring/scheduling tasks.
  • Must be accurate in date entry and able to meet output expectations.
  • Must be able to work well in a team environment.
  • Strong knowledge in rForce, Provia, The Link, Humanity, Outlook, and Microsoft Office.
  • Ability to communicate clearly 1 on 1 with Order Fulfillment Manager and Coworkers.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
