Job Title: Receptionist Coordinator / Assistant Community Manager (Hybrid)

Reports to: Team Leader

Location: Sacramento, CA

Pay Range: $20-23/hr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Summary


This position reports directly to the Team Leader in the Sacramento Regional Officelocated in Gold River. It supports the Community Managers with assigned portfolios aswell as to provide exceptional customer service, and is the friendly, helpful, professionalreceptionist at the front desk to our clients, vendors, and associates. They answerresident questions, resolve issues, and plan and support community activities.Knowledge of Excel and Word will aid in completing various administrative duties andreports. A professional appearance and a friendly, helpful demeanor are required.


Essential Duties & Responsibilities

  • Must be able to sit for long periods at the front desk with a pleasant disposition togreet clients and guests cordially.
  • Must be calm and able to handle many functions at one time.
  • Maintain an organized and clean workspace according to company procedures.
  • Must be able to receive telephone calls and interact with clients.
  • Take calls from Board Members, Homeowners, and Vendors and handlethe matter or refer them to the appropriate staff.
  • Work effectively with co-workers, clients, and others by sharing ideasconstructively and positively; listening to and objectively considering ideas andsuggestions from others; keeping commitments; being willing to accept othertasks when requested; and respecting the diversity of our workforce in actions, words, and deeds.
  • Work closely with the Community Manager and the Board of Directors to plan and implement the goals and objectives of the Association and overseeing the Architectural Control Committee as outlined in the community governing documents.
  • Oversee rule compliance and enforcement and ensures policies are properly implemented and proper records are maintained.
  • Complete data entry into various company systems in support of business needs.
  • Enter and follow up on open violations and advise Community Manager if any violation cannot be resolved through reasonable requests.
  • Process, track, and follow up on open work orders. Ensure resolutions are acquired promptly.
  • Handle and distribute urgent mail, packages, checks, and other business documents.
  • Prepare agendas, send mass communications, input minutes, enter data into Connect, and prepare responses to applications for residents
  • Produce newsletters and other communication for the Association.
  • Attend all mandatory company functions.
  • Attend and participate in professional group meetings. Stay abreast of new trends and innovations in the fields of community management.
  • Association/Committees hold various social events for members and their guests and staff may be required from time to time to assist with event scheduling, sales, and other event preparations as required.
  • Complete company training as assigned and adhere to FirstService Standards of Operation, policies, and procedures.
  • Participate in and occasionally run daily FirstCall and staff meetings.
  • Comply with company policies and procedures.
  • Other duties and assignments may be required.

Education & Experience

  • Must have a minimum GED or High School Diploma; two (2) year or four (4) year college degree preferred.
  • Community Management experienced preferred.

  • Duties of maintaining files and records will involve stooping, bending, lifting, and grasping, pushing, pulling, or otherwise moving objects weighing as much as 45 lbs.

  • Work duties may require the ability to stand or walk on hard surfaces for frequent and prolonged periods of time.
  • Must be able to effectively place and receive telephone calls, use voicemail system, and copy/fax machine.
  • Work is performed in a variety of environmental conditions, with exposure to outdoor temperatures, weather variations, traffic and equipment noise, equipment vibrations, vehicle and/or chemical fumes, chemicals such as cleaning solvents and grease, machinery and their moving parts and dust.
  • Must have finger dexterity for typing/using a keyboard.
  • Hours -Monday through Friday 8:00 am to 5:00 pm with an hour for lunch. Overtime to be approved by the Team Leader.
