The American Literary Translators Association (ALTA), an affiliate of the College of Humanities, seeks self-motivated and highly qualified applicants for the position of Secretary.

The selected candidate will perform various administrative tasks, and will work independently and in coordination with other ALTA staff.

The successful candidate will directly report to the Executive Assistant to the Dean in the College of Humanities and will work closely with ALTA’s Executive Director.

About ALTA:

The mission of the American Literary Translators Association is to support the work of literary translators, advance the art of literary translation, and serve translators, and the students, teachers, publishers, and readers of literature in translation.

ALTA fulfills this mission in a number of ways: hosting our annual conference, the largest gathering in North America dedicated exclusively to literary translation; offering awards that recognize excellence in literary translation; and providing emerging translators with support through mentorships and fellowships.

Primary residence in Tucson/surrounding area is required for this position. We are happy to provide flexibility for some remote work and allow a hybrid schedule. Travel to the UA’s Tucson Main Campus is required regularly; per policy, expenses associated with travel to Main Campus will be the responsibility of the successful candidate.

Duties & Responsibilities

Duties and Responsibilities

  • Schedule appointments, meetings, etc. for ALTA personnel, and ALTA Board and Committees.
  • Prepare, send, and track invoices; record and track account revenue expenditures.
  • Compile various data or statistics for manuscripts, records or recurring reports such as membership and donation reports, etc.
  • Draft email correspondence in response to general, routine inquiries or to requests for information.
  • Handle various administrative tasks related to ALTA's Board, including managing Board elections, creating and updating a Board manual, keeping various contact lists up to date.
  • Add new or updated data to ALTA’s membership database and website, as needed.
  • Monitor office supplies and initiate requests to replenish; research and compare vendors for various supply purchases.
  • Assemble and distribute mailings.
  • Answer phones, take messages and/or direct callers to appropriate personnel.
  • Additional data collection, entry, and management, as needed.

Physical Requirement:

  • Lifting/Transporting requirement: Up to 20 pounds for rare occasions of accepting packages, supplies, and assisting with conference as needed.

  • Knowledge of standard office practices and procedures.

  • Familiarity with University of Arizona systems.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience is required.
  • Experience with Microsoft Office applications, especially Word and Excel
  • Experience with G Suite applications, especially Google Drive, Google Forms, Google Calendar, and Google Groups.
  • Ability to drive according to the University Fleet Safety Policy.

Preferred Qualifications
  • Experience with applications including Zoom, Doodle, PayPal, QuickBooks, Submittable; experience with CRM software a plus.
