By overseeing the process of surgery scheduling, including prior authorizations and coordinating physician schedules, the Surgery Scheduler serves the patient, the physician and other OMG employees that interface with the patient.

Primary Responsibilities:

  • Receive and assess information from physician/nurse concerning procedures and preliminary diagnosis. Request any additional information needed to adequately support diagnosis
  • Consult with patients concerning expectations, pre-admission process, appointments for ancillary services, and scheduling pre-operative and post-operative appointments
  • Schedule surgery-coordinating surgeon’s schedule, OR schedule, surgery assist, and other surgeons for combined procedures
  • Coordinate with OR and Surgical Assist concerning dates, cancellations or procedure changes
  • Provide all staff with accurate and updated information about surgery schedule changes, to minimize rescheduling and facilitate appropriate use of the physician’s time
  • Assess and confirm referral process is in place, with appropriate coding for surgical procedure. Confirm insurance eligibility. Using knowledge of billing codes and diagnosis codes, proceed with prior authorization of the services - including insurance companies, worker’s comp and MCOs. Keep accurate records of PA numbers
  • Appropriately and timely release surgical blocks according to protocols
  • Obtain and process surgical reports from hospital
  • Prepare OP reports and H&P with appropriate documentation for coder to process
  • Assist with general business office functions, including, but not limited to assisting patients with co-pays and insurance concerns, answering business office phones, entering registrations and referrals
  • Maintain strictest confidentiality
  • Perform other duties as assigned

Required Qualifications:

  • High school diploma or equivalent
  • 1+ years of medical office scheduling experience
