STATEMENT OF PURPOSE:

The Treatment Coordinator facilitates all external patient needs as requested/advised by the rendering Dental Provider. The Treatment Coordinator completes all steps necessary to ensure that the patient receives complete dental care, which will be covered by their insurance or sliding fee discount and improve their overall dental health.

ESSENTIAL FUNCTIONS:

  • Coordinate and maintain an efficient filing and tracking system for referrals, authorizations, estimates and medical clearances.
  • Follow up with insurance to check the status of aging authorizations and estimates.
  • Communicate clearly and effectively with patients, giving them a more complete understanding of what is needed/what the next step is. Emphasizing the importance of current payments and understanding the consequences of non-payment.
  • Ability to coach patient and communicate with orthodontist, arranging and coordinating appointments necessary to convert a same day consult into an active orthodontic treatment. Encourage patient to establish a professional relationship with provider, ensuring clear communication on treatment plans and collection of payments.
  • Prep patient for consultation by obtaining x-rays and pictures.
  • To ensure proper patient care, maintain an open line of communication with the Office Manager, Dental Director and the clinical staff as to changes in patient appointments/accounts due to unforeseen circumstances.
  • Keep a clear and consistent method of documentation in each patient chart, allowing anyone whom looks in the chart an understanding of the patients individual case stage.
  • Call patients to give updates or to gather vital information in a courteous, friendly and accurate manner.
  • Become the primary organizer of all outer office correspondence: Sending and retrieving patient records.
  • Under the direction of the Practice Manager and Dental Director, establish and implement a system for sending and tracking all medical clearances.

  • Aid our Integrated Services Case Manager in scheduling and tracking established high risk patients, referred to Dental by their PCP

EDUCATION AND EXPERIENCE:

  • High School diploma or equivalency
  • One year experience as a cashier/receptionist in a medical facility or public contact position
  • Prior dental front desk experience Preferred
  • X-Ray Certification required (If not certified, employee must achieve within 6 months of employment)
