Job Responsibilities:

This position provides full, high-level administrative and clerical support to the manager of advanced dental education programs in endodontics, oral and maxillofacial surgery, orthodontics, and dentofacial orthopedics and periodontics, of which there are approximately 300 programs. Major responsibilities require the utilization of multiple computer programs simultaneously to manage the following: 1. confidential, complex, and detailed written and oral communications, 2. multiple, ongoing tracking systems, 3. electronic record maintenance platforms, detailed factual data comparisons, 4. document preparation and organization, 5. report processing and proofreading, and 6. template preparation. Additionally, responsibilities will include managing Outlook calendars; screening and referring calls while serving as an informational resource; preparing meeting materials, and agendas; and providing other resources for meeting attendees. The senior project assistant must be trained annually in the Health Insurance Portability and Accountability Act (HIPAA) compliance policies and procedures. The senior project assistant has access to protected health information (PHI) in self-studies and in progress reports.

Must-Have:

  • Bachelor's degree OR 5 years of administrative or project assistant experience, electronic record keeping, managing, and organizing skills
  • Experience drafting letters, reports, and agendas
  • Must have excellent organizational, multitasking, and customer service skills
  • Must have excellent teamwork, filing, proofreading, interpersonal, and written communication skills
  • Must have knowledge of working with databases, data management systems, and/or tracking systems
  • Must have the ability to be attentive to detail and accuracy
  • Must be self-motivated and function effectively with minimal supervision at times
  • Advanced-level Word, Intermediate level Excel, and Basic level PowerPoint
  • Adobe Professional, data-management software, scanner, and copy machines

Nice to Have:

  • Previous association and/or accreditation experience
  • Previous experience working with confidential and sensitive information
  • Ability to speak/read a foreign language, such as Spanish, is desirable
