Job Description

We are seeking an experienced and highly motivated Administrative Assistant to join our team, providing critical support to our school's operations, student services, and instructors. The ideal candidate will be organized, detail-oriented, and customer-focused, with a strong work ethic and a passion for supporting the education of future Emergency Medical Technicans (EMT).

Responsibilities:

  • Greet and assist students, instructors, and visitors to the school with a friendly and professional demeanor, answering questions and directing them to appropriate resources.
  • Answer and direct phone calls, emails, and other inquiries, responding promptly and effectively to ensure all parties receive the assistance they require.
  • Manage student records, ensuring accurate and complete records for each student, and maintaining a comprehensive filing system to store records in both electronic and hardcopy formats.
  • Coordinate and schedule classes, exams, and other events, working closely with instructors and students to ensure everyone is informed and prepared for each event.
  • Assist with marketing and promotional efforts by creating and updating social media posts, email campaigns, and print materials to promote the school and its programs.
  • Manage and order supplies for the school, working closely with the purchasing team to ensure the timely delivery of necessary supplies and materials.
  • Assist with billing and financial tracking by entering transactions into our electronic accounting system, creating invoices and receipts, and reconciling bank statements.
  • Provide general administrative support to instructors and staff, such as assisting with printing, photocopying, scanning, and other tasks as needed.

Requirements:

  • High school diploma or equivalent required; associate's or bachelor's degree in business or a related field preferred.
  • Proven experience as an administrative assistant or in a similar role, preferably in a medical or educational environment.
  • Excellent communication and customer service skills, with the ability to interact effectively with people from diverse backgrounds and resolve conflicts in a professional manner.
  • Proficient in Microsoft Office Suite and other office technologies, with experience using software such as spreadsheets, databases, and email systems.
  • Strong organizational and time management skills, with the ability to multitask and prioritize competing demands.
  • Ability to work independently and as part of a team, and willingness to take on new responsibilities as needed.
  • Knowledge of the medical or education fields a plus.

Job Type: Full-time

Pay: $19.00 - $30.00 per hour

Schedule:

  • Day shift
  • Monday to Friday
