Location: Grapevine

Pay Rate: $18-20 /hr.

Hours: M-F 8 am – 5 pm

We are looking for a reliable Administrative Assistant who thrives in a dynamic, growing organization. Family owned and operated since 1988, our client is the largest cabinet/lumber distributor in Texas offering over luxury brands and lines of custom manufactured cabinets. This role will report to the office manager.

Essential Duties and Responsibilities

  • Answer phones and greet visitors.
  • Screens calls when necessary.
  • Schedule appointments and maintain calendars for both short- and long-range planning.
  • Schedule and coordinate staff and other meetings.
  • Collate and distribute mail.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Write and edit documents from letters to reports and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Focuses on both daily and longer-range calendar for multiple leaders and teams.
  • Initiates necessary actions, e.g., follow-ups, prioritizations, action required, etc.
  • Provide assistance with office procedures or processes that help the team be more productive and efficient.
  • Conduct verifications on invoices, dispatches and po’s, such as po numbers, order numbers, invoices amounts are entered correctly for billing purposes.
  • Assist Customer Service with sourcing, expediting and reports that need to be generated.
What You Will Need:
  • High School diploma/GED or equivalent required.
  • 1-2 years of experience in an administrative role or related experience in similar department/function in a high-paced/high volume environment.
  • Excellent organizational skills, customer service orientation, and a strong attention to detail.
  • Proven ability to multitask with minimal supervision.
  • Microsoft Office applications a must including proficiency in Word and Excel.
  • Ability to learn new skills and competencies and can works independently.
  • Problem solving abilities using excellent communication skills.
  • Ability to communicate professionally with staff and customers in a courteous, tactful, and concise manner.
  • Proficient with Microsoft Office Suite.
  • Professional appearance.
  • Ability to organize, multitask, prioritize, and work under pressure.
  • Prior administrative experience.
  • Excellent typing skills 40+ wpm.
  • Desire to be proactive and create a positive experience for others.
