The Executive Assistant provides support to multiple Human Resources Executives. Responsibilities include performing general administrative support tasks; managing complex calendars; coordinating as well as scheduling domestic and international travel; records maintenance including compiling data for reports; assisting with administrative tasks associated with the cost center budget(s); scheduling appointments and meetings; preparing expense reports; preparing and editing presentations; greeting and escorting visitors; onboarding and assisting with new employees; as well as any other established general administrative tasks or Human Resources projects.

The ideal candidate is an adaptable team player who can manage multiple tasks and projects independently, exercise good judgement in a variety of situations and has strong written and communication skills as well as the ability to maintain a realistic balance among multiple shifting priorities. This person must have the ability to handle confidential information with discretion and the willingness to always go above and beyond requirements of the role in order to get things done.

This position will be based in our Houston, TX office.

Roles and Responsibilities:

  • Responsible for performing tactical and strategic administrative tasks for multiple HR executives.
  • These tasks may include, but are not limited to, key records maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointments and meetings, calendar maintenance for executives, preparing, reviewing, submitting and approving expense reports on behalf of leader, preparing/editing executive presentations, attending staff meetings, documenting action items, approving workday requests for leaders, making travel arrangements, mentoring/leading the general administrative staff of the department/division, and other established general administrative requirements of the organization.
  • Coordinates the administrative work within the department/division, working with other departments/divisions across the company.

Education and Experience Required:

  • High school education or equivalent; some college level education highly preferred.
  • Typically requires a minimum of 9+ years general administrative experience, or equivalent combination of experience and college level education.

Type of Experience Needed:

  • Advanced general administrative skills/knowledge required at executive level.
  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point) along with MS Office 365, Workday.
  • Meeting Planning: Responsible for coordination of organizational meetings onsite or virtual.
  • Calendar Management: Managing executive level calendar and daily schedules, including prioritizing conflicting meeting requests, tracking action items, commitments of executive and following-up to ensure completion. This requires exceptional organization skills, juggling multiple priorities and keeping a busy executive on track and on schedule.
  • Travel and Expense Management: Responsible for making complex global travel arrangements and managing expenses.
  • Confidentiality: deal professionally with highly sensitive and confidential matters and materials.
  • Highly flexible and adaptable to an evolving, fast-paced environment; works well under pressure; and manages assigned tasks/projects with the ability to reassess/and prioritize deadlines for upcoming commitments and responsibilities.
  • Demonstrates strong verbal/written communication skills and works well on an executive team individually and as a team member.
  • Mentor new Executive Administrative Assistants and participates in a cross functional EA network.

Hourly: $35.28 - $81.20
