Job Description

As an Executive Assistant at the National Museum of Mathematics (MoMath) based in New York, NY, you will work directly with our Executive Director/CEO and senior leadership team as the person who keeps their day running — the glue that holds everything together. You’ll work quickly, efficiently, and at a high level of excellence, making good use of every moment you have the executives’ attention, guiding them through their day and priorities and keeping everything on schedule. We are looking to fill two openings.

What you’ll do

Our senior leadership team has very different working styles and needs a chameleon who is savvy at adapting to each style and thrives when utilizing all of their organizational and follow-up skills. There are emails to prioritize, travel itineraries to book, donor communications to handle, meetings to schedule (or reschedule), and calendars to juggle… As our Executive Assistant, you will use your calm demeanor and quick thinking to keep everyone on task and focused on the priority of the moment, which can change rapidly. Day-to-day, you’ll:

  • Use your professional persistence to keep deadlines and schedules top-of-mind for our ED and senior leaders.
  • Make quick, sound judgments on how to shift priorities and productively use the space between meetings and calls.
  • Use your experience in travel planning to arrange efficient, economical travel logistics.
  • Retain and be discreet about high-level information, knowing what to share with whom and how.
  • Draft and/or edit communications that capture the voice of each senior leader you support.
  • Understand the big and small picture of how the museum runs, applying that knowledge when making decisions every day.

What you need to thrive in this role

  • Previous experience assisting and supporting senior leadership and C-level executives navigating their day-to-day.
  • Deep satisfaction in keeping the team on task and having the organizational skills to pull it off seamlessly.
  • Very detailed and complex/time-sensitive travel booking experience.
  • Ability to juggle multiple schedules and be highly responsive.
  • Impeccable attention to detail and professionalism.
  • Strong track record of making quick, sound decisions, communicating effectively, and reprioritizing on the fly.
  • A passion for the Museum’s mission to help people appreciate the wonders of math.
