JOB SUMMARY: The Member Services Representative will perform routine clerical, secretarial, and administrative work such as but not limited to; answering telephones, greeting/interacting with the public, providing customer service, and program registration. The front desk receptionist performs other special assignments and provides additional support as necessary.

Job Duties include but are not limited to:

  • Supports and enhances a culture that respects and honors diversity, invests in professional development and encourages self-care.
  • Assist the center administrative supervisor during an assigned shift as a front desk staffer: greet visitors, ensure check in process is completed, answer phone calls, respond to work emails in a timely and professional manner, remain up to date using the Interoffice communication, track all incoming foot traffic and calls.
  • Serve as main escort for children to and from the school’s clinic when needed.
  • Provide quality customer service for the center to maximize recruitment and retention of center membership.
  • Use marketing techniques to boost revenue.
  • Create and submit requested reports in a timely manner.
  • Maintain, update and replenish all center documents as requested.
  • Handle and log all checks, cash, and petty cash items/ensure all money is secured professionally.
  • Monitor all office supplies and order as needed.
  • Log and maintain all administrative and correspondence files.
  • Receive and monitor all incoming mail/packages accordingly.
  • Call/email patrons using call scripts and templates.
  • Create a safe and inviting environment for all staff and center members.
  • Develop a rapport with center members and staff; handle complaints and offer suggestions or recommendations as appropriate under the direction of the Division Director or Administrative Director
  • Handles all center program enrollment.
  • Maintain a clean and tidy workspace throughout your shift including replenishing all fliers and supplies.
  • Complete all inventory as requested.
  • Remain knowledgeable in all services offered by New Settlement.
  • Provide any additional assistance needed within the Center setting.
  • Ensure that all spaces and supplies are set up for programs and/or meetings.
  • Transcribe and translate documents/flyers.
  • Ensure all equipment is running properly.
  • Check and respond to all voicemails.
  • Check and retrieve school's mail room for center's mail and packages.
  • Perform other duties as reasonably requested.

QUALIFICATIONS & EXPERIENCE:

  • Bilingual in English and Spanish required
  • High School Degree or GED Required, higher education preferred
  • At least 2 years of related work experience
  • Cash Handling: 2 years
  • Administrative Assistant: 2 years
  • Ability to communicate effectively with young people from diverse backgrounds, of various ages, as well as a range of other organizational personnel in a courteous and professional manner
  • Strong written and verbal communication skills are essential in addition to excellent follow-up skills
  • High level of technical proficiency in the use of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Highly motivated and dedicated to the organizational mission
  • Extremely organized/detail oriented and able to handle multiple tasks in a fast-paced environment

Employment is at will and employees will undergo 45- and 90-day check-ins during their 90-day probationary period.
