Schedule: Full-Time (Monday-Thursday 12PM-8PM and Friday 9AM-5PM)


Position Overview:

The Office Assistant provides support services to the administrative staff within YOS.

ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Administration: Perform a variety of clerical functions, such as filing, posting and or logging information to manual or automated records; maintaining order in the supply file cabinets and ordering supplies when needed; collecting and assembling documents; photocopying/faxing documents. Types, assembles and distributes written materials such as forms, correspondence, invoices, reports and schedules in accordance with established procedures.
  • Communication: Greet visitors and clients. Operates telephone console, which includes answering and directing calls to appropriate personnel.
  • Summaries: Completes discharge summaries within seven (7) days from time received.
  • HIPPA: Confidentiality must be maintained at all times.
  • Quality Improvement: Participate in ongoing quality improvements efforts of the agency.
  • Diversity/Cultural Awareness: Ability to work effectively with diverse communities and constituencies.

EDUCATION and/or EXPERIENCE: One year of previous clerical/secretarial experience is required or equivalent combination of education and experience.

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COVID-19 Policy: In compliance with Illinois Executive Order, Youth Outreach Services is requiring all employees to be fully vaccinated against or an approved exemption. Approved exemptions will require weekly testing for COVID-19.
