Essential Functions:
- Provides clerical and administrative support, including by not limited to: answering incoming calls, greeting visitors, typing, copying and disseminating materials, responding to email inquiries, data entry, mail services, sorting, and file management.
- Assists with the enrollment, transfer, discharge, and readmission process for students and the preparation of related records and files as related to the Education Management Information System (EMIS).
- Maintains student attendance including sign-ins, sign-outs, software entry, parent calls and all associated records and communications.
- Coordinates the distribution of reports, information and communications to appropriate individuals.
- Organizes and maintains food service and related programs: including NSLP program requirements, record keeping, kitchen sanitation, and inventory control, distribution of meals and all related training and duties as needed.
- Communicates professionally, with the highest level of customer service when interacting with all visitors, families, and incoming calls; route and take messages, respond to caller questions, provide information when possible; with the ability to maintain student and staff confidentiality in all circumstances.
- Utilizes Microsoft Office and vended software to streamline day-to-day functions for Stepstone Academy.
- Provides services and record keeping for students and staff, including filing, typing, editing and mail services. Coordinates according to district, state and federal protocols, attending on and off-site training and recruitment events as needed.
- Acts as a liaison between the community, Stepstone Academy and other internal and external stakeholders.
- Ensures appropriate maintenance of school equipment, when necessary and assist in housekeeping as needed.
- Attends and participates at staff meetings and required professional development sessions.
- May be involved in the planning, organization, and implementation of events or department specific projects or seasonal program changes, including master schedule and event calendars; cross reference with activity timelines and facility availability.
- Exhibits positivity, flexibility and a willingness to take on new responsibilities as requested or required.
- Maintains regular attendance and the confidentiality of students or collateral interaction within Stepstone’s defined standards.
Required Skills/Abilities:
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Computer literacy skills, including Windows applications, Microsoft Office Suite, and basic database usage, as well as moderate level typing and the ability to operate computerized office equipment.
- Strong critical thinking and communication skills to problem solve and interact verbally with staff, representatives from outside agencies and families.
- Strong work ethic coupled with an enthusiastic and passionate approach to one’s work.
- Ability to make connections with students and families through cultural competency; Displays the ability to relate to individuals with various ethnic, racial, and religious backgrounds and socio-economic status and backgrounds in a non-judgmental, supportive manner.
- Ability to work with minimal direct supervision and manage the demands of the main office under pressure.
- Ability to work as part of a team to ensure optimal school operation and displays initiative, creativity, sound judgement and the ability to multitask and complete duties with frequent interruptions.
- Possesses an exceptional level of professionalism, including dress, verbal and non-verbal communication.
- Organizational skills and attention to detail.
Performance/Physical Requirements:
- Work consist of walking, bending, stooping, ascending/descending stairs, move equipment weighing up to 15 pounds, lifting up to 30 lbs. and remaining in a stationary position 50% of the time, including positioning self to an equal level in order to assist children of all ages.
- Must be able to clearly and confidentially communicate with other employees, students, and other stakeholders.
Qualifications:
- Minimum educational level is a High School Diploma or GED, Bachelor’s Degree preferred
- Experience with Education Management Information System (EMIS), Charter School Reporting and data entry experience a plus.
- Must have a valid Ohio Driver’s License with a safe driving record and valid insurance.
- Ability to take and pass a physical exam, tuberculosis clearance and drug screening.
