Job Description
On behalf of our client in the Financial Services Sector, PROCOM is looking for an Executive Assistant
Executive Assistant - Responsibilities:
- Assist the Global Head of GFCII and the GFCII department with all administrative functions
- Serve as resource for basic company policies and procedures such as vacation and expense reimbursements
- Communicate with executives and line management to gather/convey relevant information for the GFCIIs day-to-day activities
- Schedule day-to-day activities for the GFCII Global Head
- Schedule and ensure travel arrangements and accommodations are scheduled for both domestic and international, including securing travel visa
- Handle incoming calls, respond to inquiries, clarify company policies and procedures
- Maintain frequently changing calendars through Outlook
- Coordinate all aspects of executive level appointments, meetings, receptions and conference calls
- Prepares and reviews materials and correspondence for meetings
- Assist with creation/modification of presentations, spreadsheets, and other various documents
- Prepare, reconcile, and track expense reports through T&E system
- Order supplies and process invoices through P2P system
- Organize and secure highly confidential company and employee information
- Assist in ad-hoc reports special projects as needed
- Serve as back up support for other managers or administrative staff when required
Executive Assistant - Must haves:
- Previous office administration experience preferably within a large and complex financial services or similar organization
- Highly proficient in Microsoft Office
- Consistently demonstrates clear and concise written and verbal communication skills
- Demonstrated ability to quickly gain command of new systems
- Self-motivated and detail oriented
- 7+ years experience as an Executive Assistant, supporting a global head/managing director preferred
- Strong technical, analytical, organizational, interpersonal, project management, and verbal and written communication skills
- Excellent English grammar and spelling required
- Expertise in MS-Office products (Outlook, MS-Word, MS-Excel, PowerPoint) required, MS Project, Visio, or Access a plus
- Demonstrated work ethic, capable of disciplined self-motivation and commitment to the highest standards of professional integrity, maturity, and judgment
- Ability to multitask and work effectively under pressure to meet deadlines
- Highly organized with a strong attention to detail
- Ability to multitask in a faced paced environment
- Exceptional written and verbal communication skills
- Strong diplomacy skills with the ability to maintain confidentiality
- Strong project management skills are a plus
