On behalf of our client in the Financial Services Sector, PROCOM is looking for an Executive Assistant

Executive Assistant - Responsibilities:
  • Assist the Global Head of GFCII and the GFCII department with all administrative functions
  • Serve as resource for basic company policies and procedures such as vacation and expense reimbursements
  • Communicate with executives and line management to gather/convey relevant information for the GFCIIs day-to-day activities
  • Schedule day-to-day activities for the GFCII Global Head
  • Schedule and ensure travel arrangements and accommodations are scheduled for both domestic and international, including securing travel visa
  • Handle incoming calls, respond to inquiries, clarify company policies and procedures
  • Maintain frequently changing calendars through Outlook
  • Coordinate all aspects of executive level appointments, meetings, receptions and conference calls
  • Prepares and reviews materials and correspondence for meetings
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Prepare, reconcile, and track expense reports through T&E system
  • Order supplies and process invoices through P2P system
  • Organize and secure highly confidential company and employee information
  • Assist in ad-hoc reports special projects as needed
  • Serve as back up support for other managers or administrative staff when required

Executive Assistant - Must haves:
  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
  • 7+ years experience as an Executive Assistant, supporting a global head/managing director preferred
  • Strong technical, analytical, organizational, interpersonal, project management, and verbal and written communication skills
  • Excellent English grammar and spelling required
  • Expertise in MS-Office products (Outlook, MS-Word, MS-Excel, PowerPoint) required, MS Project, Visio, or Access a plus
  • Demonstrated work ethic, capable of disciplined self-motivation and commitment to the highest standards of professional integrity, maturity, and judgment
  • Ability to multitask and work effectively under pressure to meet deadlines
  • Highly organized with a strong attention to detail
  • Ability to multitask in a faced paced environment
  • Exceptional written and verbal communication skills
  • Strong diplomacy skills with the ability to maintain confidentiality
  • Strong project management skills are a plus
