MEDICAL RECORDS TECHNICIAN
Fort Belvoir, VA
AAI is actively recruiting a Medical Records Technician to support the Fort Belvoir Community. Fort Belvoir Community Hospital is a Department of Defense medical facility located on Fort Belvoir, Virginia, outside of Washington D.C.
The Medical Records Technician will process and maintain inpatient, outpatient, or ambulatory procedure unit medical records. Required to compile, extract or locate medical information/data to ensure medical record accountability and availability in accordance with DoD and medical service standards.
RESPONSIBILITIES:
  • Must meet the qualifications for Medical Records Technician and shall perform essentially the same functions, within the scope acceptable for their technical discipline and standard, as those required by military or government service technical professionals of similar experience and in similar duty assignments. The contractor employee’s work /productivity will be compared to that of other contractor employees assigned to the same MTF.
  • Mandatory knowledge and skills.
  • Knowledge in accomplishing clerical, statistical, and data entry tasks in support of the administrative work of the office, using an automated data processing (ADP) System.
  • A fully qualified typist (computer keyboard) with a minimum of 40 WPM is required.
  • Ability to read, write, understand, and speak English fluently to effectively communicate with all patients and other healthcare providers. Be able to format, prepare and edit written correspondence, reports, and transcribed material using correct grammar, spelling, punctuation, and capitalization.
  • Standard office equipment, such as computers, typewriters, copiers, fax machines, telephone systems, and office automation systems, to perform a substantial range of medical record maintenance support.
  • General medical ethics, telephone etiquette, excellent communication, concentration skills, and customer service skills.
  • Ability to multi-task such as using a handheld telephone while accessing different computer systems or while writing. The contract employee must be able to organize and prioritize their work.
  • The contract employee must be able to work under high-stress situations while maintaining tact and composure in handling multiple demands and requests.
  • Knowledge in creating and deleting files, searching files and records, storing and extracting material from a variety of software packages, including word processing software, transmitting large amounts of information, and generating cumulative, statistical, tabular, narrative, and graphic reports.
  • Basic knowledge of the Military Health Care System, and ability to identify/understand basic medical terminology.
  • Joint Commission on Accreditation of Healthcare Organizations (JCAHO) standards for complete, prompt, and accurate health records.
  • Work Environment/Physical Requirements. Requirements include prolonged walking, standing, sitting, or bending. Must be able to carry 25-50 pounds and reach high shelving units with the assistance of step ladders to retrieve and file medical records. The contract employee must be in the good physical condition and can sustain extensive walking, as walking is required to obtain records and documents from sometimes remote medical wards and clinics throughout the hospital.
REQUIREMENTS:
  • Education. High School diploma or General Educational Development (GED) equivalency. Basic medical terminology is required.
  • Experience. Minimum of six months relevant experience within the past year in a working environment with an emphasis on healthcare or specialized Registered Health Information Technician (RHIT) or Registered Health Information Administrator certification required.
UNIQUE MILITARY HEALTH CARE SYSTEMS/PROCEDURES:
  • Armed Forces Health Longitudinal Technology Application (AHLTA).
  • Composite Health Care systems (CHCS) and/or MHS GENESIS
  • Defense Enrollment Eligibility Reporting System (DEERS).
  • Military Filing System - by sponsor social security number, terminal digit order, color-coded and blocked filing system.
  • Contents of a military medical record, layout, sections, family member prefix designation, forms used in an MTF, and the medical record tracking procedures.
  • Health Artifact and Management Solutions (HAIMS)
PERFORMANCE OUTCOMES
  • Initiates and maintains medical records in accordance with prescribed directives.
  • File original medical documentation in the patient’s medical record and copies of medical documentation into research files as necessary.
  • Abstract, print, upload and scan original medical documents into AHLTA/HAIMS and verify images and documents are scanned correctly and legibly into the appropriate record with no more than three deficiencies annually.
  • Perform Quality Assurance checks on all release of information requests prior to release, including the electronic medical records IAW regulatory guidance with zero deficiencies.
  • Purge medical records upon request IAW AR 40-66 and other DHA and service-specific policies and guidance.
  • Provide technical guidance and assistance to subordinates on proper management and safeguards of medical records.
  • Maintain security of all VIP special handling records in accordance with regulations and standard operational procedures.
  • Maintain all patients’ records both electronic and paper according to regulations insuring each entry contains proper patient and health care provider information.
  • Forward outpatient laboratory, radiology, and other documentation to their respective outpatient medical record in a timely and efficient manner.
  • Conducts daily pull, delivery, and retrieval of patient records.
  • Searches for missing paperwork or records. Requests information pertaining to patient treatment to place in the medical record.
  • Prepares reports regarding record statistics as necessary. Participates in records review as part of the facility’s quality assurance program and in accordance with accreditation standards.
  • Reviews records to ensure proper and complete documentation.
  • Retiree medical records in accordance with regulatory guidelines.
  • Report to work rested and fully physically and mentally capable of performing the duties required under this contract.
