The FACE Foundation is a 501(c)(3) public charity. Our mission is to enhance and preserve the quality of life of animals by providing access to necessary medical care and education.
FACE provides financial assistance for pet owners who cannot afford the cost of their pet’s emergency care. Our mission is accomplished in the form of providing grants to qualified pet owners who meet the criteria of FACE.
POSITION SUMMARY:
This position oversees a variety of services, primarily donor database, grant writing, assisting the ED with development initiatives, research and outreach, and administrative maintenance. As a small team, this is a vital position within the organization. The right candidate will be ready, willing and able to support other team members in addition to accomplishing individual responsibilities. Please note this is an office position, and there is no direct animal contact/handling. Working FACE’s two major fundraising events annually is mandatory.

PRIMARY RESPONSIBILITIES:
Donor Records Management:
- Maintain all donor information and record all gifts and contacts in FACE’s donor database in a timely and detailed fashion.
- Track all donations in donor software.
- Prepare and send all donor acknowledgement letters in a timely manner.
- Make all donor thank you calls for donations at below $150. Thank you calls should be conducted in a polite and professional manner.
- Prepare annual holiday mail appeal. Comply with USPS Bulk Mailing requirements.
- Produce weekly and quarterly reports for Board and E.D.
- Process “In Memory” donations and continue to grow the program.
- Responsible for providing major support for special appeals, such as case appeals, Giving Tuesday, and Holiday Appeal, as it relates to Donor Perfect Forms, donor records, donor thank you calls and acknowledgements.
- Assist E.D. with Donor Perfect reporting before Board Meetings as needed.
- Manage Donor Perfect Reporting, identifying reports that would show important data for the Foundation’s present and future.
- Maintain constant professional attitude to callers, who may be current donors or could be future donors.
Grant Writer
- Responsible for conducting the full range of activities required to prepare, submit, and manage individual grant proposals to foundation and corporate sources.
- Prospect research on foundation and corporation grant funding opportunities.
- Submit Letters of Inquiry and Grant Proposals to foundations whose area of giving align with FACE’s mission and program activities by given deadlines.
- Prepare and provide grant reports as required by foundation/corporate donors.
- Maintain current records in database, including grant tracking and reporting.
- Use FACE data to support grant requests and highlight current needs of the Foundation.
- Help to achieve annual fundraising goals through foundation and corporate grants.
- These duties/tasks will be supported by our Director of Development
Development:
- Assist the Executive Director with development – research and solicitation of potential donors, sponsors and partner organizations.
- Meet with members of the community as needed, such as those at local foundations and veterinary partners, to introduce them to FACE’s work and foster relationships.
- Research fundraising and outreach ideas.
Administrative Support
- Bank deposits
- Provide administrative support to the Executive Director.
- Collect and review timesheets, process payroll.
- Responsible for managing the office space and inventorying, ordering and maintaining all shared supplies, such as paper goods.
- Responsible for maintaining office IT and equipment, troubleshooting and fixing any issues in a timely manner to ensure office efficiency.
- Responsible for all incoming and outgoing mail, including trips to the post office as needed.
Humane Education
- Responsible for managing FACE’s Humane Education Program.
- Conduct one lesson per month and maintain data tracking of all lessons.
- Report to the E.D. for staffing help for lessons as needed.
SECONDARY RESPONSIBILITIES:
- Screen potential cases and effectively communicate with callers maintaining a professional, positive attitude to politely guide them through the application process. Cases are time sensitive and should take priority over all other duties as needed.
- In between event down-time, the Gifts and Education Manager will be fourth in line to pick up the phone (Grants Manager, Grant Assistant, Admin Assistant, Gifts Manager, Events Manager, E.D.). Nearing event time, the Gifts and Education Manager will be third in line (Grants Manager, Grants Assistant, Gifts Manager, Admin Assistant, Events Manager, E.D.). This timeline will be directed by the E.D.
- Available for afterhours, on-call emergencies if needed, when previously discussed with E.D.
- Assist with fundraising events, which often fall on weekends. During events, we are “all hands on deck” and the right candidate will be ready and willing to tackle any task assigned by the Events Manager.
- Work FACE’s vendor info booth at other events around town, in rotation with other staff members. FACE attends approximately 15 events per year and these events typically fall on weekends.
- Assisting co-workers with questions relating to donor database, grants, development and ADP time-keeping as needed.
- Attending monthly Team Meetings with prepared updates on personal work to share with team, and giving undivided attention to other team members as they share their updates.
- Answering all emails in a timely manner.
- Other duties as needed.
PHYSICAL REQUIREMENTS:
- Valid California driver’s license.
- Ability to work and stand on feet for up to 8-10 hours a day.
- Ability to sit and work with a desktop and/or laptop computer.
QUALIFICATIONS:
- Must have a passion for animal welfare and must support the purpose of the foundation.
- Positive attitude is a must!
- Experience in Quickbooks and Microsoft Excel.
- A detail-oriented person with strong accounting skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to succeed with limited supervision.
- Ability to communicate and work effectively with Executive Director, Board of Directors, donors, all callers, colleagues and outside organizations.
- Ability to work well with a small team and independently.
- Open attitude to questions, input and requests for help from team members.
- Ability to respect confidentiality and privacy of donors and FACE applicants, and any sensitive matters related to FACE.
Job Type: Full-time
Pay: $60,000.00 - $62,000.00 per year
