Patient Care Coordinator
In addition to greeting and engaging with patients, a patient care coordinator also provides a wide range of administrative support for a medical office. From managing scheduling and organizing files to answering patients’ questions, patient care coordinators play a vital role in the provider-patient relationship.
Patient Care Coordinator Job Responsibilities:
As the Patient Care Coordinator, you will contribute to a positive patient experience by providing excellent customer service to all patients, providers, and other support staff through interactions on the phone and in person. Additionally, this position will coordinate and organize appointments, documentation, patient flow to facilitate the smooth running of the medical environment and support delivery of quality patient care.
- Serves patients by greeting and helping them, scheduling appointments, and maintaining records and accounts.
- Welcomes patients and visitors in person or on the telephone, and answering or referring inquiries.
- Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps patient appointments on schedule by notifying provider of patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
- Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Obtains revenue by recording and updating financial information, recording, and collecting patient charges.
- Helps patients in distress by responding to emergencies.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
- Maintains operations by following policies and procedures, reporting needed changes.
- Contributes to team effort by accomplishing related results as needed.
Patient Care Coordinator Skills / Qualifications:
- Multi-tasking
- 1+ years of recent admin/clerical experience
- 1+ years of customer service experience
- Previous Medial Assistant MA / LPN / CNA experience helpful
- Accurate typing and communication skills
- Knowledge of medical terminology helpful
- Ability to exercise flexibility and adaptability in work habits and to effectively work well with others

- Greet patients and other visitors to the office
- Answering calls, as well as welcoming and assisting patients and visitors
- Managing inquiries and relaying messages about scheduling, referrals, and prescription refills
- Obtain patient information, making sure all patient information is completed and appropriate signatures obtained
- Makes sure all necessary forms are signed and scanned into EMR system
- Create new patient chart if needed
- Update established patients’ information
- Schedule and verify routine patient appointments
- Verify office charges, collect payments from patients
- Run daily schedules and distribute
- Reschedule appointments as necessary
- Observe strict patient confidentiality
- Follow up on patient no shows
- Assist with all filing as needed
- Schedule return appointments as necessary
- Process credit card payments as necessary
- Performs other tasks and duties as required
- Cross train to other positions as needed
- While performing the duties of this position, the team member is required to stand, walk and sit
Education, Experience, and Licensing Requirements:
- University/college degree is an asset, but not required
- Familiarity with phone systems Customer service: 1 year (Preferred)
- Medical terminology: 1 year (Preferred)
- Computer skills: 1 year (Preferred)
- Previous experience with Microsoft Office software preferred
