Occupational Summary

The Staff Specialist may perform duties including but not limited to the administration and management of courses in the Department of Medicine

Direct report to UME Program Coordinator

Work Performed

Provide clerical and administrative assistance to the program leadership team

Monitor registration in DOM courses and communicate with DOM course directors to facilitate rotation planning

Assist DOM course directors using evaluation management platform.

Assist course directors with grade entry in DukeHub

Facilitate communication with students including about schedules, syllabi, course requirements as requested

Assist with scheduling of students in Department of Courses as directed by UME director, associate director, program coordinator

Plan and schedule work priorities in accordance with program goals and deadlines.

Review work for accuracy and completeness.

Plan and execute the distribution of reports and information as required.

Advise supervisor as to the status of current activities and additional or expanded program requirements; make recommendations for solution to problems identified.

Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:


Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of postsecondary education.




Experience:


Work generally requires a minimum of three years (strongly preferred in Medical Education) of clerical or research experience to acquire strong skills in administrative or project research responsibilities as well as accepted office management, communications and research practices. Experience with physician scheduling and EPIC a plus.

A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of the experience requirement.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE




Skills:


Proficient in the use of computer databases, with high level of proficiency in Excel and Outlook

Must have a demonstrated ability in efficiency and time management to work under pressure in regard to meeting regular, simultaneous deadlines.

Must be detail-oriented to consistently ensure program and resident compliance with several regulatory entities.

A proven capability to work comfortably with physicians, administrators and other healthcare providers at all levels.

Proficient in the use of residency management systems, with preference given to current users of MedHub and/or EPIC

Minimum Qualifications


Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Experience


Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
