Student Reassignment Specialist


Summary

This position supports schools, students, and families.


  • Provide information and assistance to families navigating the transfer/transcript/registration process
    • Be available for calls and emails to assist in understanding and navigating the transfer, transcript and registration processes.
    • Explain transfer qualification requirements to interested parties.
  • Create new Jot Forms for all types of transfers and applications each year
    • Form set-up (all necessary fields)
    • Obtain translated versions
    • Ensure that each form is active and functioning accurately
  • Manage intra-county student transfer requests.
    • Review transfer request details
    • Analyze overall transfer qualification requirements (attendance/grades/behavior)
    • Consult with sending and receiving principals on space/ availability
    • Render case decisions in accordance with school board policy #4150
    • Create official decision letter and deliver to parent, sending/receiving principals, sending/receiving data managers, and any relative department needed
    • Keep all documentation and notations in Jot Form for future review
  • Manage Out of County Transfer Acceptance/Release Requests
    • Review transfer request details
    • Analyze overall transfer qualification requirements
    • Consult receiving principal of acceptance requests
    • Collaborate with surrounding school district assignment specialists to ensure each request has both acceptance and release to complete the transfer
      • Verify each student is assigned correctly and keep all documents in Jot Form for future review
    • Create official decision letter and deliver to parent, sending/receiving county/principals/data managers and any relative department needed
    • Confirm yearly tuition fee with Finance and invoice eligible applicants
    • Manage and record all payments and balances due
  • Manage Academy applications including but not limited to high school academies, virtual academies, Dual language Immersion programs, Comprehensive Based Education programs, NRHS school choice applicants and any other specialized school specific programs
    • Review application request details
    • Analyze overall transfer qualification requirements
    • Consult sending/receiving principal and any relative departments
    • Arrive at appropriate decision in concurrence with school board policy #4150
    • Create official decision letter and deliver to parent, sending/receiving principal/data managers and any relative department needed
    • Keep all documentation and notations in Jot Form for future review
  • Manage any 1st appeal hearing requests
    • Add all relative documents/details in Monday.com for the requested student appeal
    • Coordinate with the family and the superintendent designee for a mutually agreed upon date/time for the hearing
    • Send calendar invites to all parties
    • Schedule appropriate meeting room
    • Inform front desk receptionist of meeting
    • Act as recording secretary during the hearing keeping detailed minutes
    • Send official decision letter to parent on behalf of the superintendent designee
  • Manage any school board appeal requests
    • Coordinate with the family and the school board appeal committee members for a mutually agreed upon date/time for the hearing
    • Send calendar invite to all parties
    • Schedule appropriate meeting room
    • Send each school board appeal committee member all related documents for the appeal in advance for review
    • Provide a hard copy of the documents for each committee member day of the hearing
    • Act as recording secretary during the hearing, keeping detailed minutes
    • Provide committee members invoice for signature and key the invoice for each member for payment of service
    • Send official decision letter to parent on behalf of the school board appeal committee
  • Manage transfer waitlists
    • Manage database of waitlists for future openings
  • Manage Summit Virtual Academy spreadsheet
    • Manage a database of Approved and Denied applications
    • Manage a database of any Summit movement after applications close
    • Update principal/data manager regularly
  • Manage Emergency transfer process
    • Review any requests after the transfer window closes for compliance with late request qualifications
    • Consult sending/receiving principals for space and any relative departments
    • Arrive at the appropriate decision
    • Create official decision letter and send to parent, sending/receiving principals, relative departments
    • Keep all documentation in Jot Form
  • Create yearly master spreadsheet with data for all transfer information
    • Save on master hard drive
  • Manage Strategic Planning Budget
    • Collaborate with the Chief of Strategic Planning for yearly spending plan
    • In alignment with Finance guidelines, attain preauthorization for purchases, confirm delivery receipt and process for payment any purchases requested
    • Manage corporate credit card purchases and timely payment
    • Maintain detailed records of all purchases
    • Provide regular budget reports to supervisor for review
  • Manage Public Relations Budget
    • Collaborate with the Chief of Public Relations for yearly spending plan
    • In alignment with Finance guidelines, attain preauthorization for purchases, confirm delivery receipt and process for payment any purchases requested
    • Manage P-Card and key purchases on Truist bank site for payment
    • Keep detailed records of all purchases
    • Provide regular budget reports to supervisor for review
  • Disability Determination Records
    • Provide any requested records for government agency
    • Locate, verify, print and certify records
    • Mail to appropriate agency as requested
    • Keep data base of sent documents with noted date of mailing
  • Manage High School Transcript requests
    • Review ScribOrder daily for requests
    • Locate, verify, print, and certify records from closed schools
    • Support existing schools in locating transcripts
