Shipping and Receiving Duties and Responsibilities Overview

  • maintain records of incoming and outgoing shipments written and through quickbooks
  • answer inbound calls from departments to verify inventory inquiries
  • maintain accurate inventory written and in QuickBooks
  • collect all quote/job related information (datasheets and work order)
  • perform unpacking of shipment deliveries
  • collect payment information and process customer payments
  • stock and maintain inventory properly in warehouse
  • skin wrap products and shelved in a timely manner
  • accountable for maintaining quarantine items, new and existing jobs
  • maintain workplace cleanliness
  • close and lock up the warehouse and shop at closing
  • Maintain proper dress attire for related to warehouse duties: this includes slacks, khakis, or casual jeans (casual jeans should be clean and in good condition, free of any tears, holes or rips, fading or fraying), polo shirt, or t-shirt with business logo,tennis shoes or shoes that cover all of the foot.
  • Job duties and responsibilities will be handled during the hours of operation designated by management to the shipping and receiving department. Shipping and receiving will have a 1 hour lunch break and coordinating with management. (Hours of operation for shipping and receiving subject to change)
  • Utilize the time clock to begin or end a shift, and to begin or end a lunch break. Attendance is an important part of the job duties and responsibilities and will be evaluated and addressed accordingly to the individual sales representative. Excessive tardiness and absences will result in disciplinary action that may lead up to termination.
  • The start of the day, collect the mail and drop off the mail to the appropriate departments, start the computer and quickbooks and prepare for daily shipping and receiving tasks that are outlined in the job duties and responsibilities.
  • Review all new and existing jobs (custom builds, porting, etc.) with data sheets and work orders on the stationary table, and email sales department daily on gathering the information needed to have a completed WM data sheet or work order to ensure that the the new and existing jobs are pushed to the correct department so that the work requested by the customer is not delayed.
  • Review new and existing work orders to ensure that shipping and receiving is prioritizing first in and first out work orders. It is important that the work orders are followed up on a daily basis.
  • Review UPS and FedEx incoming and outgoing shipments and to ensure that all incoming and outgoing shipments are ready for shipment and or receiving. When shipping, make sure that all paperwork and labels are with the shipment at the time of shipping to ensure the product is shipped on time. When receiving shipments, make sure that all packages are open and that all shipping documents are accounted for and stored in their respective location and or turned into the bookkeeping department.
  • All distribution orders and online orders will be packaged and shipped by shipping and receiving utilizing the shipping software.
  • Shipping and receiving must only answer department calls that are for parts or custom build work inquiries; all sales calls must be directed to the sales department unless otherwise specified.
  • Shipping and Receiving will be fully accountable for all inventory in the warehouse. Inventory can not leave the warehouse without shipping and receiving staff documenting and signing off, what inventory is leaving the warehouse and for what purpose it is leaving the warehouse. No department can take inventory or parts for whatever reason until shipping and receiving documents and signs off as to which department is retrieving inventory or parts. Once the inventory and parts have been documented and signed off, shipping and receiving must correct the on hand counts in quickbooks as soon as the inventory has left the warehouse in order to keep inventory counts accurate.
  • When sales brings a work order with the job that needs to be done prior to the part exciting the shipping and receiving department, shipping and receiving staff must make sure that all information on the WM data sheet and or work order be filled completely and if any discrepancies, the part may not leave the warehouse, and the WM data sheet and or work order must be sent back to the sales person for correction.
  • Must use email as the primary method of communication between departments to ensure that important information is not lost. Example; when a customer’s data and or work order is incomplete (missing information must be minimal to zero) shipping and receiving will send an email to the sales department informing the sales department that the work can not be sent out for the work to be completed.. Use phone calls between departments as a secondary method for communicating work related or urgent situations, preventing loss of production. If you can’t reach the department via phone, refer back to the primary method of communication. In a rare situation using the email and or phone method is not sufficient or possible, it is permissible to walk over to the other department and communicate in person urgent situations. Employees are expected to remain in their departments and have very little reason to do otherwise.
  • Shipping and receiving will conduct inventory count in the warehouse as assigned by management and adjust QuickBooks on hands to keep correct inventory in QuickBooks.
  • Must maintain a clean and organized workspace and maintain general cleanliness of the shipping and receiving warehouse and work stations.

Job Type: Full-time

Pay: $15.00 - $18.00 per hour
