Provides administrative and clerical support to the Vice President, Service and Aftersale Operations and, as needed, to the Service Division management team and Senior Executive Coordinator, Service. Additional duties include planning/coordination of service meetings and events, producing and publishing of various reports that are distributed to management, both corporate and field offices, under the direction of the VP, Service & Aftersale Operations. This person acts on behalf of the Vice President, Service and Aftersale Operations and interfaces with the Executive Directors and Directors of Service Operations, Product Quality, Kia University, Customer Care, Warranty and Parts Operations. They also assist departments within the Service Division with project management and report completion for varied projects.
1st Priority - 45%
Manages and performs detailed administrative duties regarding all aspects of the work required in support of the position, including maintaining and coordinating travel schedules, meetings, and daily schedules. Works with Kia Headquarters (Kia HQ) assigned executive coordinators as required. Acts as liaison between the Vice President and direct reports on various administrative matters. Maintains confidential filing system, develops tracking reports to monitor assigned projects. Uses independent judgment and authorized to make most day-to-day decisions required by the position and without further approvals.
2nd Priority - 35%
Performs various ad hoc duties as assigned by the Vice President which may include, but not limited to, preparing communications, and developing presentations and reports. Responsible for compiling and distributing the weekly Executive Management Report and the monthly Fixed Operations National and District Ranking Reports.
3rd Priority - 20%
PR / POs on behalf of the VP and Executive Coordinator, routing EADs for approval, processing department expense reports and maintaining department budget.
