Job Description

Oversees and coordinates the Master of Science in Cardiovascular Perfusion academic program, which may include budgeting and/or complex program or record keeping responsibilities under the direction of a division director, chief and program director.

Responsibilities
Administrative Responsibilities
1. Oversees day‐to‐day operations of the program.
2. Provides administrative support for program director.
3. Administrator for program advisory committee.
4. Updates program policies as needed to be compliant with Accreditation Committee Perfusion Education and the Commission on Accreditation of Allied Health Programs.
5. Coordinates human resources onboarding for all students.
6. Assists students and faculty with compliance of program policies and procedures.
7. Assists with producing and distributing manuals/handbooks for students and faculty.
8. Assists with producing and distributing course syllabi changes.
9. Assists with posting monthly exams.
10. Assists with producing, distributing and scheduling annual orientation schedule.
11. Coordinates program events such as graduation and other meetings and events as needed.
12. Maintains files on all students and program faculty.
13. Maintains and updates all course calendars each semester.
14. Executes affiliation agreements between the program and each participating off-site clinical rotation.
15. Assist with the Annual Program Evaluation as required by the Commission on Accreditation of Allied Health Education Programs.
16. Maintains the cardiovascular perfusion website and ensures all data is continually accurate and upated.
17. The administrator will oversee the observations and lectureships courses throughout the program. Will also assist the clinical coordinator with student rotation assignments, legal paperwork, and any other rotation needs.
Program Accreditation
1. Updates program policies as needed to be compliant with Accreditation Committee Perfusion Education and the Commission on Accreditation of Allied Health Programs.
2. Assist with the Annual Program Evaluation as required by the Commission on Accreditation of Allied Health Education Programs.
Student Applications
1. Manages applications annually through the SLATE student application system.
2. Schedules annual virtual interviews during the open application system time; usually August-November each year.
3. Assists program director and faculty in screening and inviting candidates for interview.
4. Updates recruiting brochures, websites and other materials provided to applicants.
5. Assists the program director in selecting and inviting applicants to join the cardiovascular perfusion graduate program.
Information Technology
1. Updates and maintains program website with help from division marketing team.
2. Updates Canvas courses, Outlook perfusion calendar, posts ExamSoft monthly exams and semester CourseLeaf updates.
Human Resources
1. Processes and tracks new student background check and drug screens.
2. Schedules space and creates the agenda for one week long new student orientation each May.
3. Maintains all student files.
4. Monitors student morale, responds to concerns, scheduling and participating in meetings as needed.
5. Assists in student remediation.
6. Assists with due process for student probation and dismissal from the program.
7. Coordinates student mentor program.
Finance
1. Oversees program budget
2. Requests and processes program financial expenditures.
3. Manages travel and reimbursement for students.
4. Processes procurements for the program.
Professional Development
1. Engages in life‐long learning by taking courses that further professional growth, knowledge and expertise to enhance program management skills (through human resources, etc.)
2. Actively participates at a national level in program administrative association if available.

Minimum Qualifications
Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

1. Four years of administrative and/or secretarial experience, preferably in an academic setting, or equivalency
2. Ability to work independently and pay close attention to detail

4. Superior organizational skills
5. Commitment to provide excellent customer service
6. Accounting, bookkeeping, word processing and typing skills may also be required by some departments
