We are currently seeking a talented and experienced Personal Assistant to join our team and support our CEO.

Responsibilities:

Manage and maintain the professional schedule, including appointments, meetings, and travel arrangements

Act as the additional point of contact between the CEO and clients, vendors, and other team members

Coordinate and manage client communications, including appointment confirmations, reminders, and follow-ups

Assist with client consultations, providing information about available services and helping clients choose the best options for their needs, along with charting procedures performed.

Maintain client records, ensuring all information is accurate, up-to-date, and confidential

Assist with inventory management, ordering supplies, and maintaining a clean and organized workspace

Provide administrative support for the CEO, including document preparation, filing, and correspondence

Stay current with industry trends, technologies, and best practices, sharing relevant information with the team as needed, be well versed in social media platforms such as Instagram, Facebook and TikTok

Perform additional duties as required, including occasional receptionist coverage and support for other team members

Be able to drive and perform quick tasks around town as occasionally needed

Qualifications:

Preferred 2 years of experience in social media marketing on Instagram, Facebook an TikTok

High school diploma or GED required; post-secondary education in a relevant field is an asset

Minimum 2 years of experience in a medical aesthetics setting or a similar role

Minimum 4 years of experience as a personal assistant or a similar role

Excellent organizational and time management skills, with a strong attention to detail

Ability to multitask and work effectively in a fast-paced environment

Exceptional interpersonal and communication skills, both written and verbal

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with scheduling software

Knowledge of medical aesthetics procedures, products, and industry best practices

Professional appearance and demeanor, with a commitment to providing exceptional customer service

Must be flexible with work hours, including evenings and weekends as needed

Must have a valid driver’s license
