Job Summary

The Recruiting Coordinator is an integral partner in our recruitment lifecycle supporting the Talent Acquisition team in providing specialized and critical administrative support in managing our recruiting processes. Responsibilities include but are not limited to scheduling & Candidate Experience, logistics, documentation, reporting, and improvement throughout the recruiting process, and maintaining the applicant tracking system, other job boards & Branding. The Recruiting Coordinator ensures a positive candidate experience.

Responsibilities

Scheduling & Candidate Experience

  • Write and employment offer letters, follow up with candidates who have received offer letters, and start the initial steps of onboarding for those who have accepted offers
  • Handle and prioritize multiple advanced administrative duties with wide latitude for independent judgement and initiative
  • Assist recruiting efforts in arranging onsite interviews and welcoming interviewees, and assist with outreach initiatives to universities or communities
  • Prepare information packets for candidates visiting out of state
  • Assist recruitment and hiring teams to ensure each candidate has a great interviewing experience by conducting interview surveys and following-up with candidates afterward
  • Responsible for conducting a 30-day follow-up call with new hires

Logistics

  • Conduct employment related research and assist recruitment team with electronic and other methods of sourcing of qualified candidates
  • Refer appropriate candidates to recruiters
  • Provide recruitment projects support and related services to supervisors, hiring managers, recruitment team members, and others
  • Organize and coordinate career fair registration and assist the recruiting manager in leading and organizing college recruiting efforts

Documentation, Reporting & Process Improvement

  • Participate in and provide analytical support in design, development, and implementation of recruitment projects and programs
  • Attend recruitment and other HR coordination meetings, providing insight and suggestions
  • Develop and maintain comprehensive knowledge of recruitment, employment, compensation, benefits, pay administration and other related organizational policies, practices, procedures, and/or regulations
  • Serves as a resource for recruitment policies, procedures, and practices to supervisors, HR staff, and others. Refers to recruiters and other staff as appropriate
  • Develop and maintain general familiarity with immigration and recertification process and respond to inquiries related to immigration and re-certification with appropriate guidance from DG Immigration policy
  • Assist with identifying issues affecting recruitment and implementing recruitment activities to continuously improve process
  • Assist in developing, implementing and improving cooperative and internship program
  • Assist in creating and enforcing recruiting plans each year
  • Prep Hiring Committee Meeting documents
  • Maintaining Applicant Tracking Systems, other Job Boards & Branding
  • Post, update/refresh, and revise job postings weekly to ensure best optimization
  • Attend and participate in job fairs, community activities, and other recruitment-related events
  • Assist special groups / committees within the company in diversity recruiting efforts
  • Represents and promotes organization to potential applicants by providing information, responding to questions and collecting applicants
  • Maintain interview and hiring records in our applicant tracking system
  • Assist in any upkeep with social media, new trends for recruitment technology (application, mobile outreach)
  • Assist recruitment, HR and other internal groups with internal brand awareness (career development, culture, referral program, etc.)
  • Required Education Skills and Experience
  • Bachelor’s degree in Human Resource management or related business field
  • 4+ years of work experience as a Talent Acquisition Coordinator, Recruiter or HR Assistant working on recruitment tasks involving engineering, architectural, and construction management roles and college recruiting
  • 4+ years of experience with applicant tracking systems and resume databases
  • 4+ years of ensuring candidates have a great candidate experience
  • 4+ years of experience with recruitment process improvement
  • Superb attention to detail required as well as excellent interpersonal, verbal, and written skills
  • Excellent organizational skills and strong at multitasking
  • Proficient with Microsoft Office Suite and Excel with ability to use the software to produce reports and presentations
  • Ability to produce accurate and detailed reports in Excel
  • Self-starter with initiative, positive attitude and passion for delivering an excellent candidate experience
  • Strong ability to organize and prioritize tasks
  • Ability to work cross functionally, perform under tight deadlines, problem solve and adapt in a fast-paced environment
  • Integrity in handling confidential and sensitive information
  • Understanding of human resources policies and practices
  • Working knowledge of social media and branding relating to recruitment

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift-up to 15 pounds at times

Travel Requirements:

  • Traveling will be limited, possibly up to 10%
